The purpose of this policy is to guide Western Energy Institute members, participants, and volunteers in their usage of artificial intelligence (AI) technologies in regard to WEI programs and meetings – in person or virtual. WEI values collaboration and understands that this sometimes means sharing critical and confidential information, and as such we ask that everyone interacting with WEI follow the following guidelines.
- Review all AI content. WEI views AI as a tool, not a solution. Please use caution when using, and always review any work and information provided by AI. You are responsible for any work that you share.
- No recording or AI notetaking. WEI does not allow for recording of meetings, conferences, classes, courses, or any type of program – this includes utilizing an AI tool for note taking. When needed, WEI takes live notes for meetings, and these notes are always available to attendees.
- WEI is committed to making all our events accessible to everyone, if you need any accommodations made, please let the program manager know prior to the event.
- Protect all confidential data. This includes not uploading notes, presentations, etc. that may contain an organization’s information to AI tools.
- Disclose all AI usage. Any AI use for images, content, presentations, etc. should be clearly cited as such.
